Offer letters with e-signature, built in

Write the offer letter from your own template, have an administrator approve it, and let the candidate read and sign it in the browser. Ituka keeps the signed letter as a record.

How an offer goes out

  1. Record the outcome. After the interview with the hiring manager. You choose the outcome labels, and each says whether it allows an offer. A letter can be started only for an outcome that does.
  2. Write the letter. From your template, with the title, compensation (in US dollars, per year or per hour), start date, location, reporting manager and the person who signs for the company. You can edit it before it is sent.
  3. An administrator approves it. An administrator cannot approve a letter they prepared while another administrator exists.
  4. The candidate signs. They get an email link to the letter, shown in your organization's branding. They sign by typing their name and place, and the date, time and time zone are recorded. They can also download a copy, decline, or ask a question.
  5. Your signer countersigns. The company's named signer then signs.

Locked once it is sent

  • Once a letter is sent, its words and figures cannot be changed. Once both sides have signed, nothing can.
  • The database enforces this, not only the application.
  • A signed letter is kept even if the candidate later deletes their account.
  • Compensation is never put in the body of an email, and a click on a link in an email never signs anything by itself.

What it does not do yet

The signature is a typed name with a recorded time, place and time zone. There is no certificate page or cryptographic signature on the PDF yet. Letters are in US dollars only, and the PDF uses standard fonts, so names outside the Latin alphabet may not print correctly.

Whether a typed signature meets your needs is a question for your counsel, and the letter template and consent wording should be reviewed by counsel before you rely on them.

Vendors

Where a staffing vendor put the candidate forward, the vendor is told whether the offer was extended, accepted, declined, lapsed or withdrawn. It never sees the terms.

What it costs

Enterprise is $30 per user a month, and $4 per candidate interview.

Questions about offer letters

Can a letter be changed after it is sent?

No. Once it is sent its words and figures are fixed. If it has to change, the letter that is out of play can be revised into a new version, and one that both sides have signed cannot.

What can the candidate do?

Read it, sign it, download a copy, decline it, or ask a question.

Is a typed signature enough?

The letter records the typed name and place and the date, time and time zone of signing. Whether that is enough for your purposes is a question for your counsel, and there is no certificate-based signature on the PDF yet.

What does it cost?

Hiring teams pay $30 per user a month, and $4 per candidate interview.
